Workday: Where We Are and What’s Ahead 

NKU’s Workday implementation continues to progress across multiple areas.

Phase 1: Finance and HR

Phase 1, Workday for Finance and HR, will go live this summer. Employee training for Workday begins in May to prepare NKU employees to start using Workday for HR and Finance tasks in June and July. HR functionality in June will support bi-weekly time entry and monthly payroll will officially transition to Workday on July 1.  For additional details, please review the Workday implementation timeline.

Phase 2: Workday Student

Planning is underway for Phase 2, Workday Student, which is scheduled to go live in Fall 2028. This spring, the project will enter its planning phase, including training preparation and workstream development. The Workday Student timeline differs from Finance and HR as it follows a phased implementation approach with full functionality live in Fall 2028. 

Workday Testing Overview 
End-to-end testing will continue through February, followed by parallel testing. During parallel testing, SAP and Workday will run simultaneously to ensure consistent and accurate results. Testing focuses on validating all functional scenarios and re-testing as needed to reduce risk and support a successful implementation. 

Streamlining Workday Processes
One of the goals of this project is to enhance business processes by assessing if they reduce risk, improve outcomes, and support scalability. This includes intensive testing of automation, efficiency, and integrations across departments. By aligning processes with Workday best practices, NKU can simplify workflows, reduce manual effort, and support a more efficient and scalable future.

  • Improved purchase requisition workflows and approvals 
  • Increased transparency and visibility through notifications and dashboards, replacing some traditional approval steps

 

To support the transition to production for Finance and HR, purchase requisitions, vendor payments, and vendor freezes will be required this spring.  More detailed information on this will be coming soon.
